Most service businesses are founder-dependent. Yours doesn’t have to be.

Great people, great work, growing demand, and a business that still runs the way it did at five clients. Usually the business can sell just fine. What holds it back is how the work gets done once the client signs.

Everything runs through you

Your team sends work back to you because it’s quicker than explaining how it’s done. Every approval, question and decision waits for the founder.

*growth stops at your calendar
Winning a client feels like bad news

Instead of celebrating, you start working out where the extra hours will come from, and part of you quietly dreads the next sale.

A dozen tools and no single place to look

Client information is spread across all of them, people forget where things are, and half the team avoids the tools the other half relies on.

Chasing the team for updates

Work is assigned in messages, then followed up twice to find out if it happened.

*“any update on this?”
Automations that keep breaking

Quick fixes bolted onto processes nobody designed, and now someone has to maintain those too.

It’s been on your to-do list for months

You know the systems need rethinking, but you can’t step back from running the business for long enough to actually do it.

*maybe next quarter
If you’re about to hire your next few people, now is the time to fix this, before they learn the old way of doing things.

A busy business isn’t the same as a valuable one.

The service businesses that grow well and are worth the most share three things:

It runs without you

The team works from clear processes and connected systems, so growth doesn’t depend on your hours.

Know-how stays in the business

How you win clients, deliver and onboard is built into your systems and documented, not kept in anyone’s head.

Clients stay for years

Your relationships are what win the repeat work, and we make delivery consistent enough that clients are happy to keep renewing.

Sometimes you really don’t need another tool.

Most founders we meet already pay for a CRM, a project tool, accounting software and a handful of apps. What’s usually missing is a way of making them all work together.

We configure and integrate what you already have, and only recommend something new when it clearly earns its place. The better your systems connect, the fewer tools, seats and subscriptions you pay for.

You end up with fewer tools, properly connected, and one clear place for how things are done.

You focus on what you do best: the client work, the relationships, the sales.

We do what we do best: building the systems underneath.

Foundation first, then automation, and AI where it pays.

Automating a messy process only gives you a faster mess, so every engagement follows the same order.

We interview you and your team, map every workflow from enquiry to renewal, and put a cost on the constraint that’s holding growth back.

AI-native, built by engineers.

Our team comes from product and engineering in B2B tech. We’ve built B2B software and shipped the integrations that connect it to everything else.

We think like founders and build like engineers.

We start with how your business wins and delivers work, then build systems that are secure, documented and maintainable, so they keep working when something changes.

Integrations are how everything ends up in one place.

Ready-made integrations

Native connectors and platforms like Make, n8n and Zapier, configured around your process, documented and monitored so they don’t silently break.

Custom-coded integrations

When off-the-shelf won’t do: APIs, webhooks and custom connectors written by engineers, so the tools you rely on can talk to each other, however niche.

One operating system for the whole business

Delivery & project management

One home for every client, project and task, with the right view for every role: the big picture for you, a clear list of priorities for each person on the team.

CRM & proposal flow

A pipeline you trust, call notes that become proposals the same day, and a clean hand-off from signed to onboarded.

Documentation & handover

We document every workflow we build and record short walkthroughs, then give your team a simple structure for writing down the rest of how you work.

Integrations, automation & AI

Connecting your systems, removing copy-paste admin, and putting AI assistants to work on clean data.

Why we started Make It Scalable

“Our team has spent the last decade building software products in B2B. In software, nothing scales unless it’s designed as a system: every workflow mapped, every tool integrated, every handover defined. When we started working with service businesses, we saw the opposite: brilliant people and great work, held together by the founder’s memory, a dozen disconnected tools and a lot of messages. So we started bringing the discipline we learned in software to service firms: process first, connected systems second, AI where it genuinely pays. The result is a business that runs like clockwork instead of through a group chat.”

How to get started

Step 1
Strategy call

A focused conversation about where your operations are breaking, what it’s costing you, and whether we’re the right fit.

*where most clients start Step 2
Operations Roadmap

A full map of your operation, team interviews, the constraint costed out and a prioritised plan. Yours to keep, and credited towards the build if we go further.

Step 3
Build & hand-over

We engineer what the roadmap prioritised, train your team to run it, and stay on as a partner if you want ongoing support.

What founders ask us first

Will we have to switch tools?
Usually not. We start with what you already pay for and only suggest a change when the case for it is clear.
Couldn’t we just build this ourselves with AI?
Some founders do, and if you have the time, go for it. Most don’t: the project sits on the to-do list for months, and the hard part is redesigning how work flows rather than writing the code. We do both, as engineers, and hand it over so your team can run it.
Should we just hire an operations manager?
Probably at some point, yes. A good operations manager runs the system day to day, and we design and build it, including the integrations and automation, so they have something to run from their first week.
We tried ClickUp (or Notion) and it didn’t stick.
That’s true of most teams we meet, and it’s rarely the tool’s fault. Usually it was set up generically rather than around how you deliver, with no plan for getting people to use it.
What does “AI-native” mean for a service business?
Your data is clean, connected and in one place, so AI can draft, summarise, report and route work reliably, instead of being a chatbot bolted on the side.
How much of our time will it take?
A few focused mapping sessions up front, then short reviews while we build, because the whole point is to give you time back.
Will this help us keep clients?
It should. Consistent, visible delivery is one of the biggest reasons clients renew, and that’s much easier when nothing depends on one person remembering.
Who is this not for?
Solo practices and teams under about five people, where a good template and a free afternoon will do more than we can. And if your real problem is finding leads, we’ll tell you on the call.

From running on you to running without you.

If you’ve hit the point where something has to change, let’s map where you are today and what it would take to build operations that last.
